Project Overview:

TTLP Advisory, a law firm dedicated to guiding entrepreneurs and innovators, planned an end-of-year event to celebrate achievements and connect with key clients and partners. To enhance the guest experience, TLP needed an efficient, branded registration system with automated emails, calendar integration, and streamlined RSVP options.

Objectives:

The objective was to build a seamless RSVP system that allowed guests to register effortlessly, receive key reminders, and add the event to their personal calendars. RSVP options provided flexibility, allowing attendees to confirm or decline, with automated follow-ups for those who couldn’t attend.

Scope of Work:

  • User Research & Requirements Gathering: Identified TLP’s event goals, guest experience expectations, and specific functional needs for registration and communication.
  • Design and Development of Registration Form: Designed a user-friendly registration form capturing essential attendee details, while offering RSVP options and an “Add to Calendar” feature for easy scheduling.
  • Automated Email Sequence: Built an email flow including RSVP confirmations, event reminders, and personalized messages, each with options to “Add to Calendar” (Google, Outlook, Apple) for convenience.
  • UI/UX Design for Seamless Experience: Focused on an accessible, user-friendly interface that aligned with TLP's brand, optimized for both desktop and mobile.
  • Testing & QA: Conducted thorough testing to ensure functionality, accuracy, and clarity of all aspects, from registration to automated emails.
  • Post-Launch Monitoring: Tracked system performance and user feedback to refine the RSVP process, making necessary adjustments for a smooth user experience

Outcome

TLP saw high attendance with strong user engagement due to timely email notifications and calendar integration. The system reduced staff workload while maintaining high service quality, and user feedback highlighted the seamlessness of the RSVP process.
